How to send a booking or application to a school

Learn how to send and track bookings or applications to schools using Edvisor.

Sending a booking or application through Edvisor is a straightforward and organized process that will save you time and headaches.

Start the Application:

After a client accepts an option in a quote, a "Start Application" button will appear.
  1. Go to Edvisor > Quotes > and open your quote.
    ⚠️ Make sure you have the student’s preferred option selected.
  2. Click on “Start Application” to begin the application process
  3. Hover over the selected option, and select “Start Application.”

Complete the Application Information:

  1. Confirm the program details you are applying for.
  2. Confirm the accommodation details or indicate if no accommodation is required.
  3. Select any required school services (e.g., transfer, exam preparation).
  4. Upload the required documents (e.g., enrollment form, terms and conditions, passport). 💡The student’s information from their Edvisor profile will automatically populate in the enrollment form to streamline the process.

Send the Application:

Once all information is complete, click "Send" to submit the application to the school.

The application will be sent directly to the school’s Edvisor system, where their applications team will process it and keep you updated of the status in real-time.

Track the Application:

Once sent, click "Track Application" or navigate to the bookings section to monitor the application status.

ℹ️ Note: Once the application is on the school side, the school will update you on the status by updating their Edvisor Distribute account. These status changes will be reflected in real-time in both your bookings section and the application profile.

Application Statuses:

  • Pending: When you send the application, the status will automatically update to “Pending,” meaning you’ve sent the application but it has not yet been processed by the school.
  • Processing: When the school begins to process your application, the status will update to “Processing.”
  • Accepted/Declined: Status updated by the school to indicate acceptance or rejection of the application.
  • LoA Issued: Applications where the school has issued a Letter of Acceptance (LoA).

Make changes or communicate with the school:

If you need to make changes after sending an application (e.g., change the start date, update passport information), or need to get in touch with the school for any other reason, you can do so from the application profile.

  1. To open the application profile, click on one of the applications listed in the bookings section.
  2. You can edit the student's information, the application details, or the services included at any time, and the changes will be visible to the school.
  3. Important! Use the chat box within the application to notify the school of any changes to ensure they are aware.

This centralized communication ensures both you and the school have all updates in one place.

Sharing Documents:

In the application profile, you'll also find a documents section, this is essential for managing all the necessary paperwork during the application process:

  • Default Documents: You will find documents like the signed agreement, your gross invoice, your net invoice, and the Letter of Acceptance (LoA).
  • File Sharing Section:
    • Agency Files: For you to share additional documentation with the school.
    • School Files: For the school to share additional documentation with you.

💡 You can download and share these documents with students via the student portal by uploading them through the files tab in the Sales section of the platform.


Application Activity:
In the application profile, you’ll also find a log that records all activities within the application, including document sharing, messages, and changes.

This helps prevent miscommunication and keeps a clear record of all interactions.

Say goodbye to back-and-forth emails and issues like “When did you send it?” or “I haven’t received it.”

💡 Tip: To verify if the quoted school is covered by EdCover, search for the school name and look for the EdCover checkmark in any of the search results.
