How to Manage Your Students

How to manage students: add profiles, organize with pipelines and statuses, assign to team members, use tags and custom fields, automatic archiving for inactive students.
Keep track of every student from first inquiry to final enrollment.
Adding a Student
Go to Students and click Add Student. Enter their basic information:
- Name, email (required — used for portal login), date of birth, nationality
- Phone, address, passport number, visa type
- Study goals: destination, schools, programs, start date, duration, budget
You can also add students through Forms (see "How to Use Forms" guide).
Pipelines
Pipelines organize your students by stage. Each pipeline has statuses (e.g., New Lead → Contacted → Quoted → Booked → Enrolled). Each status can have a checklist so your team knows what to do at each stage.
A student can belong to multiple pipelines at the same time — for example, one pipeline for the overall sales process and another for visa tracking.
Assigning Students
Assign each student to a team member. That person receives all notifications for the student — reminders, updates, and task alerts.
Tags
Add tags to students for easy filtering. Tags are free text — create any tag you need (e.g., "VIP", "Scholarship", "Visa Pending").
Custom Fields
If you need to track information not covered by the standard fields, create custom fields (text, dropdown, or date) in your office settings.
Archiving
Students are archived, not deleted. Archived students move to a separate list and no longer appear in your pipeline views. You can set automatic archiving for students with no activity after a certain number of days.
